ENTITY: St. John the Evangelist Loveland, Colorado.  The Parish has approximately 1800 registered Parish families.  The Parish operates a school (PreK-8) with a current enrollment of 200 students.

BASIC FUNCTION:  The Parish Business Manager reports directly to the Pastor.  This ministerial position assists the Pastor with the stewardship of the financial and personnel resources of the parish, in accordance with parish policies and the particular laws and norms of the Archdiocese of Denver (contained in the Pastoral Handbook).  The Parish Business Manager is a person of faith committed to Gospel values.  He or she values the organization and responsible management of resources, and helps the Church fulfill its mission and purpose.

SPECIFIC DUTIES:  Specific duties and responsibilities of the Parish Business Manager include:

Financial Management:

~       Oversees the management of parish operations and financial records.

~       Prepares annual budget, annual report to the Archdiocese, the annual stewardship report to the parishioners, other necessary reports and presents such reports to the Pastor and the Parish Finance Council for review and discussion.

~       Prepares monthly financial reports reflecting actual results versus budget results and explains significant variances to the Pastor and his finance council.  Meets regularly with and distributes monthly financial information to parish staff having responsibility for department budgets.  Meets with the principal no less than monthly to review school financial information

~       Handles bank relations to include management of accounts and problem solving.

~       Manages bookkeeping functions including, but not limited to, payables and receivables and all other parish and school revenue expenses.  Ensures bank accounts are reconciled in a timely manner.

~       Maintains compliance with debt covenants on parish obligations if any.

~       Staff liaison to Parish Finance Council (the Council) who assists both the Pastor and the chairperson of the Council in establishing the agenda for such meetings; helps the Pastor staff the finance council.

~       Oversees the preparation and response to the annual internal audit.

~       Coordinates proper recording and acknowledgment of all gifts and bequests to the parish.  In addition, facilitates fund raising events, pledge drives and parish offertory collections.

~       Ensures that all federal, state and local taxes are paid in accordance with federal, state and local regulations.  Maintains compliance with federal, state and local laws including payroll tax withholding and reporting rules and regulations.

~       Manages payment of salaries and benefits including timely remittance of monies withheld from employees including monies from 403(b) withholdings.  Maintains and regularly reports to the pastor and finance council on the accumulation of parish staff sick, vacation or PTO (paid time off) time.

~       Responsible for overseeing design and operation of overall financial control policies and procedures within the organization.  Implements and maintains procedures and internal controls to protect the financial and physical assets of the parish.

~       Reviews all contracts, deeds, affidavits, leases and other legal documents submitted to the Pastor for execution.

~       Analyzes financial and economic trends and their likely impact on future parish operations, and apprises the Pastor, making recommendations when appropriate.  Develops and maintains a 5 – 10 year financial forecast of the parish.

 Facility Management:

~       Oversees major repairs, renovations and capital projects for the parish facilities consistent with the approved parish budget and in accordance with the Pastoral Handbook.

~       Acts as liaison to archdiocesan administrative agencies.

~       Manages custodial maintenance functions.

~       Acts as a resource for the parish building committee.

~       Oversees scheduling of meeting space.

~       Responsible for parish security, leasing, rental, use of parish facilities in accord with parish policies and particular law, and acts as a liaison to local government agencies.

 Personnel Management:

~       Implements personnel policies: develops hiring and termination procedures, job descriptions, personnel evaluations, Open Enrollment and EEO Reports for administrative and support staff  and administers the benefits programs.

~       Directs the management of the parish office.

~       In conjunction with the pastor evaluates support staff through yearly performance reviews.

~       Oversees implementation of the guidelines and policies of volunteers.

 Communication / Information:

~       Oversees preparation of Sunday bulletins and other print media.

~       Oversees the maintenance of the parish census and annual mass attendance counts.

~       Maintains historical information and records.


~       Oversees computer management and information systems’ needs of the parish.

~       Attends meetings relative to the role, as necessary.

~       Directs purchasing procedures.

~       Interacts with school principal on all operational and financial matters, as necessary.

~       Performs other duties and tasks as may be required by the parish Pastor.

  • The professional business experience of the candidate(s) is critically important and should be considered as continuing education in situations where a college degree does not exist.

  • Is knowledgeable of the principles of accounting and financial reporting.

  • Is knowledgeable of safety and security issues.

  • Is knowledgeable of personnel issues, including payroll reporting requirements, policies, procedures, selection, benefits, federal and state laws, employee motivation, team building, etc.

  • Is knowledgeable of parish policy and guidelines in relationship to archdiocesan policy and guidelines, including the Pastoral Handbook.

  • High energy level, flexible personality, and ability to work well with a wide range of styles and personalities, both internally and externally.

  • Characterized as a person with impeccable integrity, resourceful, cost conscious, responsive and committed to excellence.
